Practice EHR is excited to introduce the following updates in the December 2025 release
As committed, the PracticeEHR team is excited to introduce an enhancement to the Kiosk experience.
Patients can now upload a driver’s license and insurance card (via a remote link or in-office Kiosk), and PracticeEHR will automatically extract and populate Patient Information (Demographics) and insurance details into the patient chart for faster, more accurate check-in.
AI Check-in reduces front-desk workload. Fewer data entry errors, cleaner records, and improved patient experience with shorter wait times.
For AI Check-In, simply follow the Navigational Steps as below:
Navigation:
Scheduling > Calendar > Create Appointment > Gear icon > Generate Web Check-In link
1. Click the “Generate Web Check-In Link” option.

2. Upon clicking the option, the system opens up the Generate Office Visit Web Check-In Link pop-up screen, which allows the user to copy the link or send the link by email, text, or both, as shown below:

3. When the patient opens the link, they land on the Patient Check-In screen. After that, the patient:

4. After verification, the patient can then import their driver’s license by choosing any of the two options:
Note: The patient will have to add the only supported file type i.e., JPG and JPEG.
Alternatively, the patient can also scan their driver’s license or insurance card directly from their phone using the camera.
And after uploading/scanning the document, the patient should then click on the Next button as shown below:

5. The AI Scanner tool will automatically extract the information from the driver’s license and update the patient demographics data in the system.

6. In the next step, the system allows the patient to add an emergency contact (if any).
7. In the Insurance Planssection, the system will ask the patient to add a new insurance plan. Click the +New Insurance button, as shown below:

8. Once the patient clicks this button, the system allows importing/scanning the insurance card, with options:
Note: The patient will have to add the only supported file type, i.e., JPG and JPEG.
Alternatively, the patient can also scan and add their insurance card directly from their phone using the camera.
Once done, click on the Next button as shown below:

9. After uploading the insurance card, the system will automatically fetch and populate the information as shown below:

Note: If the patient is enrolled in the plan, the system will add the insurance card and allow the addition of the History & ROS intake.
In the next step, the system allows the patient to check in. The patient must click the Check-In button, as shown on the screen below:


Finally, the system displays the message “You have successfully checked in” on the screen, as shown below:

Once the patient completes the check-in process, the patient’s name will appear in the Patient in Office bucket of the PracticeEHR portal as shown below:

AI Check-In eliminates one of the most time-consuming front-desk tasks, i.e., manually entering patient ID and insurance information.

AI Check-In automatically captures driver’s license and insurance details. It reduces manual work, speeds up check-in, and gives patients a smoother, more hassle-free experience.
